Most team social media tools now offer an approval step, including Buffer, Hootsuite, Later, Sprout Social, Agorapulse, Vista Social, Metricool, Loomly, Zoho Social and Statusbrew. The approval step is not the same in each tool. In some tools an unapproved post waits and never publishes. In other tools a scheduled post publishes at its time whether or not a reviewer approved the post, and some user roles can skip the step entirely.
For a small firm, the more useful question is what happens to a post when the approver does nothing. This page answers that question for six of the ten tools, Buffer, Sprout Social, Metricool, Loomly, Zoho Social and Later, from the vendor's own help center. The other four, Hootsuite, Agorapulse, Vista Social and Statusbrew, are not covered on that question here. We read each help article on October 9, 2026. We did not sign up for any tool, so every line below is what the vendor's documentation says on that date, with a link to the page.
Three questions to ask about any social media approval tool
- Who can skip the approval step? Many tools let an owner or admin schedule a post directly. Direct scheduling suits a founder and is a risk in the hands of a new junior hire.
- What happens if the approver does nothing? The post either waits, expires, or publishes anyway. This single answer decides whether the approval step protects the firm.
- Can a person outside the tool approve? A business partner or an outside adviser often approves by email or link rather than with a paid seat.
What happens to a post when the approver does nothing
- Buffer. If the post is not approved by its scheduled time: A post from a user who needs approval stays in Drafts until an owner or a user with full access moves the post to the queue. Source, read October 9, 2026: Buffer help center.
- Sprout Social. If the post is not approved by its scheduled time: The post is not published and stays in the Needs Approval tab. The author gets an expired approval notice. After 90 days without a decision, the post is rejected automatically. Source, read October 9, 2026: Sprout Social help center.
- Metricool. If the post is not approved by its scheduled time: A 3-hour grace period applies. After the grace period, the post leaves the review list, stays unapproved and is not published. Source, read October 9, 2026: Metricool help center.
- Loomly. If the post is not approved by its scheduled time: A post still unscheduled at its planned time moves to the Passed status. Source, read October 9, 2026: Loomly help center.
- Zoho Social. If the post is not approved by its scheduled time: The post gets the status Time Elapsed and can be approved later. Source, read October 9, 2026: Zoho Social help center.
- Later. If the post is not approved by its scheduled time: A scheduled post publishes at its scheduled time regardless of approval status. To hold a post, the team saves the post as a draft until a reviewer approves the post. Source, read October 9, 2026: Later help center.
Later is the clearest example of why the second question matters. Later's help article says plainly that scheduled posts publish at their scheduled time regardless of approval status. According to the same article, a team holds a post in Later by saving the post as a draft until a reviewer approves the post.
Metricool offers a setting called "Auto-approve if no one rejects". With that setting on, the help article says the post is published as long as no reviewer rejects the post, and no explicit approval is needed. That setting turns the approval step into an objection window.
Who can skip or override the approval step
- Hootsuite: Hootsuite's product update page describes a "Mark as Approved (Bypass)" option when scheduling, which allows scheduling without further approvals and records a note.
- Later: The account owner and any user with the Reviewer role can schedule without approval. A Reviewer's Publish Without Approval permission cannot be turned off, according to the same Later article.
- Sprout Social: Users with Publish permission are not required to submit a post for approval. Users with Full Publishing permission skip a workflow step only when the workflow setting allows it.
- Buffer: The owner and users with full access can move any draft into the queue. Users set to need approval always have their posts held as drafts.
- Zoho Social: Admins and users with publishing permission publish directly, according to the Zoho Social article above.
- Vista Social: Only admins and publishing managers approve, and contributors cannot publish directly, according to the Vista Social help center.
Approval by a person outside the tool
Several help centers describe approval by a person who has no seat. Sprout Social describes external approvers who need no login, on its Advanced plan. Metricool lets a team add reviewers by email, even if the reviewer has no Metricool account. Statusbrew sends external approvers an emailed link. Later shares posts with people outside Later for feedback comments, which the article describes as feedback rather than approval.
How SocialPost handles approval
SocialPost puts the approval step at the center of how a post gets made. Keep your AI: ChatGPT, Claude or Grok writes the caption. SocialPost renders a brand-correct visual, formats the post for each platform, holds the post for your approval, and schedules the post. You approve every post. Nothing publishes without your sign-off.
The SocialPost scheduler page says nothing goes live until you approve. On the SocialPost MCP page, the approval happens inside the chat: your assistant sends the post to SocialPost, SocialPost shows a preview for each network, and the post waits until you approve the post.
For a firm of one to five people, the owner is usually the approver. That makes the second question above the important one. With SocialPost, a post the owner has not approved does not publish.
How to test the approval step before you pick a tool
- Schedule a test post and ignore the post. Use a private test account, schedule a post ten minutes out, and do not approve the post. Watch whether the post goes live.
- Log in as the most junior role. Check whether that role can schedule directly or only submit a draft.
- Read the help article, not the feature list. The feature list says "approvals". The help article says what the approval step does when the approver is busy.
If your firm already writes posts with ChatGPT, Claude or Grok, keep that habit and add the approval step after the writing. Start free on the Free plan and approve your first post.
Frequently asked questions
Which social media tool holds a post until a reviewer approves the post?
According to the help centers read on October 9, 2026, Sprout Social, Metricool and Buffer each hold an unapproved post rather than publish the post. SocialPost also holds every post until you approve the post.
Does an approval workflow stop a scheduled post from publishing?
Not in every tool. Later's help article says scheduled posts publish at their scheduled time regardless of approval status, and Metricool has an optional setting that publishes a post unless a reviewer rejects the post. Read the vendor's own help article before you rely on the step.
Can a person outside the firm approve a social post without a paid seat?
In several tools, yes. Sprout Social, Metricool and Statusbrew each describe approval by a person outside the tool, by link or by email.
What does a social media approval tool need for a small firm?
A small firm needs two things: a post that waits when the approver is busy, and a clear rule on who can skip the step. Everything else is a convenience.
